Brand New Calendar Possibilities for FileMaker

Today, Seedcode released Zulu, a plug-in that turns FileMaker Server into an iCal server. This means that you can now use iCal as a calendar interface to display and edit records in FileMaker that contain dates. This makes it possible to easily visualize information and take it with you on your iPhone, iPod Touch, or iPad as well. It eliminates the need to synchronize calendar entries.

Bento vs. FileMaker

Often I get the question about the difference between Bento and FileMaker. Most of my consulting comes from doing FileMaker work, but I will recommend Bento when it fits the type of work you need to get completed. Here I’ll outline some of the differences between the products.

I think of Bento as the iTunes of databases. It’s designed for personal productivity. FileMaker is aimed at workgroups and organizations.

Bento is not cross-platform. It only works on the Macintosh running Leopard 10.5.7 or above. FileMaker works on Windows and the Mac OS.

Bento integrates directly with the Apple Address Book for contacts, iCal for calendars, Mail for e-mail, and iPhoto for images. FileMaker can link to these tools but requires more development work via a plug-in or AppleScript. FileMaker has many other options for connecting to Microsoft Office, creating email, accessing internet browsers, adding functionality with plug-ins, utilizing PHP for creating web/internet solutions, and accessing other external SQL databases.

Bento limits the number on shared users to those on a local network with no more than 5 users (since Bento verson 3). FileMaker can handle hundreds of users with FileMaker server across a wide geographic area.

Bento is less customizable and less powerful than FileMaker. Bento’s simplicity allows someone to more easily create a database that looks professional with a lower learning curve. For its powerful features and capabilities, FileMaker is the easiest-to-use database tool in the world. This makes it possible to develop, expand, and customize solutions more quickly.

Bento is much less expensive than FileMaker. Bento $49 for one user or $99 for a family pack. FileMaker is around $299 for one user with many licensing options as you move up to more users.

Since the release of FileMaker Go, both FileMaker and Bento have options for easily running their databases on the iPhone and iPad. The pre-built templates in Bento make this more accessible with less work.

So if you are a do-it-yourself kind of technology person, I’d recommend you start with Bento and see where you can go. If you decide to build something on your own with Bento and run into limitations, it is relatively simple to move your data forward into a FileMaker database.

If you’re moving out of Bento and into FileMaker, you might also consider utilizing a pre-built FileMaker solution such as fmIgnite to gain access to many features without the necessity of building them all from scratch.

iPhone/iPad Demos of FileMaker Go

With the advent of FileMaker Go, many people now want to demonstrate their mobile applications to a larger audience. Unfortunately, the iPhone/iPad simulator included as part of the Apple iPhone SDK (Software Development Kit) will only allow you to run apps you are developing yourself, not actual apps downloaded from the Apple App Store like FileMaker Go.

Doing demos on the iPad or iPhone is a little tricky because they do not directly connect to a video projector in the same way a laptop can. One way to do a demo is to have a video camera on a tripod pointed down at the desk with your iPad or iPhone. Connect the video camera to your projector so that it shows the screen and your finger movements that control the display. This isn’t always easy or practical because it requires additional equipment and takes some extra time to set up.

You can, however, take screen shots of your solution and place them in your Keynote or PowerPoint presentation. It isn’t a live demo, but you can show the basic idea. Do do this, you’ll need some screen shots of your solution and some templates of the iPhone/iPad frames to put them in. (I’ve provided some examples you can download taken from the iPhone simulator.)

To take a screen shot on the iPhone or iPad and prepare it for your presentation, follow these steps:
1. Open FileMaker Go and your FileMaker solution
2. Navigate to the screen you want to save.
3. Hold down the on/off button at the top right of the device and simultaneously pressing the Home button. The screen will flash and the device will take a screen shot.
4. Take additional screen shots as necessary by repeating step 2-3.
5. Open the Photos app and tap on the Camera Roll Album.
6. The screen shots you just took will be the last or most recent images you see. Tap on each shot and then the tap on the share icon in the lower left corner.
7. Tap on “Email Photo” to send the image to yourself or use one of the other options displayed. You can also access the image later when syncing to your computer with iPhoto.
8. Use an application like GraphicConverter to place the screen shot into one of the iPad/iPhone frames provided.

There you go, a quick way to demo your FileMaker Go apps in a presentation.

iPad Cases for Fun

Lately, there have been many developments on the iPad case front. There are now many choices for how you can wrap, protect, accessorize, and make the iPad your own.

FileMaker Go for Mobile Devices

Today FileMaker announced “FileMaker Go” for the iPhone and iPad! This is one of the most exciting recent developments for the FileMaker community.

FileMaker Go is a new application available via Apple’s App Store that lets users work with FileMaker Pro databases directly on the iPhone/iPod Touch ($19.99) or iPad ($39.99). Both applications run on iOS 4. Now development for the iPhone is much more cost effective and your FileMaker solutions to go places they could never go before without a much more significant investment.

FileMaker Go allows you to view, edit, and search records. Access your existing databases with minimal changes through the internet with Wi-Fi or 3G. All changes are instantly updated on the hosted file. You may also copy solutions onto your mobile device for single user solutions via iTunes, e-mail, or the web when you don’t have access to the internet.

Workaround for Send Mail with Safari 5

Question: One of my clients running is having problems with a send mail script from FileMaker 10 to Mail 3.6. The attached PDF is appearing on a black background making it impossible for the recipient to read any text that the client may have included with the attachment. What can I do?

Answer: This bug was introduced by Safari 5. http://support.apple.com/kb/TS3385 Until Apple provides an operating system level fix, I have put together a temporary solution by including the following AppleScript in a Perform AppleScript script step after the Send Mail command.

– Overcome error introduced with Safari 5 that makes the background black
– Change to Plain Text and then back to normal

if name of menu item -1 of menu 1 of menu bar item 8 of menu bar 1 contains “Plain Text” then

New Mac OS Update 10.6.4

Apple released a new Mac OS update today version 10.6.4 (Snow Leopard).

According to release notes the update includes Safari 5 and enhancements to compatibility, security, and stability. Here’s some detailed information from Apple.

As always, I suggest that you WAIT to install this for a few weeks to let early adopters deal with any issues that might arise. In fact, for this reason I always suggest turning off the auto update system preference. Then the OS will not prompt you when a new release is available to avoid tempting you to do so before a release is fully baked.

Here’s how to adjust your system preferences:

1. In the Finder, from the Apple menu on the far left choose System Preferences…

2. Click on Software Update.

3. Uncheck the box that says Check for updates (Weekly)

You can go ahead and manually install updates once every 2 months or so after completing a full system backup onto an external hard disk drive using a tool like SuperDuper!

Great Printer for Small Business/Home Office

I’ve been using the Samsung CLX-3175FW Color Laser Multifunction Printer for several weeks with great success. It was set up very easily just plugging it into my network router directly via Ethernet connector. (I didn’t test the wireless operation but all the devices on my network connect to it wirelessly through the router.) Driver installation on Mac OS X Snow Leopard was straightforward and easy.

The color printing and photocopying quality is very good. It is so much better than an ink jet printer. You can actually print decent quality photos on plain paper without ink showing through the paper. You don’t have to worry about ink drying out. I’m about ready to toss my ink jet in the trash now. (More likely I’ll recycle it though.)

This unit has a small desktop footprint compared to most color laser printers. For the price, you can hardly go wrong. It’s not even that much more expensive than a high end inkjet printer.

I tested network scanning using the TWAIN plug-in with the GraphicConverter application and it worked great. I highly recommended this application for basic image editing on the Mac. Now I have no more USB cable swapping for all the Macs in my office to be able to scan.

All told, I highly recommend this unit for the small business or home office. Get this Samsung printer.
